1. Purpose of This Policy
At Gali Gali Cricket League (GGCL), the safety, wellbeing, and protection of all children participating in our programs, matches, events, and activities is a top priority. This policy outlines the necessary procedures and expectations for preventing, responding to, and managing incidents involving a child or young person who is reported missing during a GGCL-managed activity.
GGCL is committed to providing a safe, supportive, and structured environment in which every child can enjoy cricket. This policy supports that commitment by defining the actions to take if a child goes missing, ensuring prompt, clear, and effective responses.
2. Who This Policy Applies To
This policy applies to:
- GGCL Staff and Volunteers
- Team Coaches and Managers
- Event Officials and Match Supervisors
- Parents, Guardians and Carers
- Any adult responsible for a child
- Children and young people participating in GGCL activities
At all league-sanctioned events-training, matches, camps, or community gatherings-those in supervisory roles must ensure they understand and follow this policy.
3. Definitions
Missing Child:
A child or young person under the age of 18 who is under the supervision of GGCL personnel, who cannot be located when expected during scheduled activities or breaks.
Supervision:
The responsibility of adults to oversee, monitor, and account for the whereabouts and safety of children during GGCL events.
4. Prevention and Supervision Responsibilities
To reduce the likelihood of a missing child incident, GGCL expects all supervising adults to:
- Conduct regular head-counts during drills, breaks, and at the start and end of sessions.
- Ensure children are never left unsupervised in public or semi-public spaces (grounds, parking areas, restrooms).
- Maintain sign-in/sign-out records where parents are present.
- Brief children about meeting points and boundaries before events begin.
- Encourage open communication if a child needs to use the restroom or leave the activity temporarily.
Prioritizing prevention helps protect every child's wellbeing and reduces response time if an incident occurs.
5. If a Child Goes Missing - Step by Step
When a child is reported missing, GGCL staff and volunteers must act quickly and systematically:
- 1. Alert Supervisors Immediately
Notify the head coach, team manager, or designated coordinator right away. - 2. Account for Other Children
Ensure that the remaining children under your care are supervised safely while search efforts begin. - 3. Organize a Search
Assign responsible adults to search areas the child was last seen-stands, changing rooms, toilets, nearby grounds, exits, and gathering points. - 4. Communicate with Parents
If the child's parent or guardian is present, inform them immediately and reassure them that steps are underway. - 5. Check Exits and Surroundings
Ensure the child has not left through a gate, common access point, or surrounding open area. - 6. Contact Authorities if Not Found Quickly
If the search is unsuccessful after a short period (generally no longer than 20 minutes, if safe to wait), contact the local police or emergency services. Provide them with the child's description, last known location, and other details. - 7. Record All Details
Designated staff should collect and note details including height, clothing, hair/eye colour, time of disappearance, and actions taken. This information will support authorities and parents. - 8. Notify GGCL Safety Officer
Report the incident to the GGCL Safety or Welfare Officer as early as possible for administrative documentation and improved response measures.
6. After the Child is Found
Once the child is located:
- Inform all adults and parents immediately.
- Ensure the child receives proper care and comfort.
- Debrief with staff and volunteers to understand what occurred.
- Document the incident and review procedures to prevent future occurrences.
A formal review helps strengthen GGCL's safety practices.
7. Roles & Responsibilities
GGCL Management
Ensure policies are up-to-date, disseminated, and incorporated into staff and volunteer training.
Coaches / Team Managers / Event Officials
Maintain vigilance and implement procedures consistently.
Parents & Guardians
Cooperate with supervision systems and inform GGCL of any special needs or concerns.
All adults associated with GGCL must understand and uphold these responsibilities at all times.
